Defining Narratives Institute exists to support justice-involved youth, mentors, officers, and community members with digital education tools that promote personal growth and transformation. This Privacy Policy outlines how we collect, use, protect, and share information for youth and other users accessing the platform.

Our privacy approach aligns with DJJ protocols and expectations, prioritizing:

  • Youth confidentiality

  • Institutional oversight

  • Minimal data collection

  • Responsible program use


2. Who We Serve

Most users access this platform through a referring agency, such as:

  • A juvenile detention facility

  • A diversion program or re-entry initiative

  • A school or probation officer

  • A DJJ-contracted community provider

All youth access must be approved, initiated, or overseen by a responsible adult, agency staff, or program administrator.


3. Information We Collect

We collect only the minimum data necessary to support user access and course completion:

A. User Information

  • First name, last initial (or program alias)

  • Email address (if applicable)

  • Course enrollment and progress

  • Quiz scores and certificate completion status

B. Referrer or Program Info

  • Referring staff name and agency (e.g., DJJ counselor, teacher, or volunteer)

  • Facility or region for program coordination

  • Assigned staff responsible for youth engagement or progress tracking

C. Technical Info

  • Browser type, IP address, basic device data (for debugging purposes)

We do not collect Social Security Numbers, medical records, government IDs, or sensitive PII beyond what’s required for educational tracking.


4. How Information Is Used

We use the information collected to:

  • Create and manage user accounts

  • Allow youth to complete assigned learning tracks

  • Track completion for certification or reporting purposes

  • Provide program administrators and DJJ partners with progress summaries (when authorized)

We do not use data for advertising, profiling, or behavioral tracking.


5. Who Can Access This Data

Data is only accessible to:

  • Designated program administrators (e.g., DJJ staff, school leads, or partner organizations)

  • Assigned instructors or platform moderators (to track course completion)

  • Authorized platform administrators for maintenance and support

We do not share data with outside companies, marketers, or any unrelated third party.


6. Institutional Consent & Oversight

Access for justice-involved youth must be:

  • Authorized by an institution or staff member responsible for their programming

  • Part of a formal case plan, re-entry plan, or diversion initiative

It is the responsibility of the referring agency to ensure that appropriate parental/guardian consent or institutional authorization has been obtained when required under state or federal law.


7. Youth Privacy & Protections

We understand the unique vulnerability of justice-involved youth. We take measures to:

  • Avoid collecting unnecessary personal data

  • Allow use of aliases or internal IDs instead of full names when appropriate

  • Prevent exposure to third-party content, ads, or data brokers

Our platform is closed and purpose-built, with no public profile browsing, messaging, or social media-style interactions.


8. Data Storage & Security

  • All data is stored on secure, encrypted servers.

  • Access is role-restricted and requires multi-step admin authentication.

  • We follow basic best practices for WordPress security, Tutor LMS protections, and site-level backups.

While we take privacy seriously, this is not a HIPAA-compliant system, and should not be used to store or transmit medical or highly sensitive legal data.


9. Retention & Deletion

Data is retained:

  • For the duration of the youth’s participation in the program

  • Or until a deletion request is submitted by an agency administrator

We will honor data removal or anonymization requests made by DJJ personnel or verified program supervisors.


10. Your Rights

Program administrators and responsible parties can:

  • Request a copy of a student’s engagement data

  • Ask for correction or deletion of records

  • Withdraw access to a course or entire program track

11. Policy Changes
